TaxLint, Inc. (“TaxLint,” “we,” “us,” or “our”) operates the TaxLint platform, including vault.taxlint.com, admin.taxlint.com, and related services. This Privacy Policy describes how we collect, use, store, and disclose information when you use our services.
1. Information We Collect
We collect the following categories of information:
- Account Information: Email addresses, names, and passwords used to create and access your TaxLint account.
- Firm and Entity Data: Names of firms, clients, family members, business entities, and staff members associated with engagements.
- Uploaded Documents: Tax documents, financial records, and supporting files uploaded through our platform. These documents may contain sensitive information including, but not limited to, Social Security Numbers (SSNs), Employer Identification Numbers (EINs), dates of birth, income figures, bank account details, and other personally identifiable information (PII).
- Derived Data: Information extracted or inferred from uploaded documents through automated processing, including document classification, data extraction results, and QA flags.
- Usage Data: Log data, IP addresses, browser type, pages visited, and actions taken within the platform.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the TaxLint platform and its features.
- Process and classify uploaded documents using automated systems, including artificial intelligence and machine learning technologies.
- Generate checklists, QA flags, and engagement triage recommendations.
- Send transactional emails, upload confirmations, reminders, and status notifications.
- Authenticate users and enforce access controls.
- Monitor platform performance, security, and reliability.
- Train and improve our AI and machine learning models used for document classification, data extraction, and quality assurance.
3. AI and Automated Processing
TaxLint uses artificial intelligence tools, including large language models (LLMs) and computer vision systems, to process documents uploaded to the platform. This processing may include:
- Classifying document types (e.g., W-2, 1099, Schedule C).
- Extracting structured data from unstructured documents.
- Detecting quality issues such as mismatched taxpayer information or missing schedules.
- Generating engagement recommendations based on document content.
Some AI processing may involve third-party services. We select providers that maintain appropriate security and confidentiality practices, but your data may be transmitted to and processed by these third-party AI services as part of normal platform operations.
Model Training: Data processed through the platform, including uploaded documents and extracted information, may be used to train, fine-tune, and improve AI models operated by TaxLint. These models are used to enhance the accuracy and capabilities of the platform. We do not sell your data to third parties for their own model training purposes.
4. Data Sharing and Disclosure
We do not sell your personal information or document data to third parties.
We may share information in the following limited circumstances:
- Service Providers: We use third-party vendors for infrastructure (cloud hosting, object storage), email delivery, AI processing, and analytics. These providers access data only as necessary to perform services on our behalf and are contractually obligated to protect it.
- Within Your Organization: Information is shared among authorized users within the same firm account as configured by firm administrators.
- Legal Requirements: We may disclose information if required by law, subpoena, court order, or government request, or if we believe disclosure is necessary to protect our rights, safety, or the rights of others.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.
5. Data Security
We implement industry-standard security measures to protect your data:
- Encryption at Rest: All stored data, including uploaded documents and database records, is encrypted using AES-256 encryption.
- Encryption in Transit: All data transmitted between your browser and our servers is protected with TLS 1.3.
- Access Controls: Role-based access controls limit data access to authorized personnel. Multi-tenant isolation ensures firms cannot access each other’s data.
- Audit Logging: All significant actions within the platform are logged for compliance and security monitoring.
- Infrastructure: Our platform is hosted on secure, professionally managed infrastructure with regular security updates and monitoring.
While we take data security seriously and employ robust protections, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
6. Data Retention
We retain your data for as long as your account is active or as needed to provide services. Uploaded documents and engagement data are retained in accordance with your firm’s configuration and applicable tax record retention requirements. You may request deletion of your data by contacting us, subject to legal retention obligations.
7. Your Rights
Depending on your jurisdiction, you may have certain rights regarding your personal information, including:
- The right to access, correct, or delete your personal information.
- The right to request a copy of data we hold about you.
- The right to opt out of certain data uses where applicable.

8. Cookies and Tracking
We use essential cookies to maintain authentication sessions and platform functionality. We may use analytics tools to understand usage patterns. We do not use advertising cookies or sell tracking data.
9. Children’s Privacy
TaxLint is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have inadvertently collected information from a child, we will take steps to delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered users of material changes via email or in-platform notification. The “Effective Date” at the top of this page indicates when the policy was last revised.
